Organising Your Conference Call
To help you plan & organise your conference, try the following :
- E-Mail all participants to inform them of the time and date of your conference, making sure to adjust accordingly for different time zones.
- Include the relevant dial in numbers and the conference code.
- Perhaps also write a brief agenda for the conference, and include that in your e-mail.
At the Start of Your Conference Call
- Ensure that you are able to hear the conference call clearly by not sitting in a noisy place, that your phone works without any noise or interference.
- Work from the agenda to keep your call structured.
- Be aware that International participants may not be able to stay on the conference as long as you!
- If you are concerned about who is on the conference, use the roll-call or participant count features.
After Your Conference Call Has Finished
- You may wish to stay in the conference with certain participants to discuss sensitive items, use the conference lock feature here to ensure a secure discussion
- Send out a brief e-mail to remind everyone what was discussed, any action points and the deadlines for those actions.
